Club Policies

Gymlab follows British Gymnastics policies and guidelines. All our coaches are DBS checked and have a child safeguarding certificate.


TERMS AND CONDITIONS


1. Parents/Guardians Obligations

1.1 The Parents/Guardian warrants that the information provided on the Class4Kids website is accurate and up to date. It is the Parents/Guardians’ responsibility to ensure that they inform Gymlab in writing of any change in medical conditions or contact details.

1.2 Parents are not allowed in the School Hall during the session.

 They will have the opportunity to be present in the class during open classes and displays.

1.3 Parents/Guardians agree to accept sole responsibility for their child immediately before and after the end of the class. It is the Parent/Guardian's responsibility to ensure their child’s safety while in the changing rooms, toilets, reception, and waiting areas as well as the safe entry of their child to the training school hall and vice versa.

1.4 Parents/Guardians are responsible for bringing their children on time for the class. Warm-up is an essential part of the training and the child’s potential absence from the first part of the lesson could result in injuries.

1.5 Parents/Guardians take full responsibility for their children’s personal belongings such as clothes, shoes, and bags. Coaches and officials of Gymlab are not held responsible for any damaged, lost, or stolen items in the gym or the facility.

1.6 Parents/Guardians are advised to accept official judgments regarding their child’s behavior and development. Gymlab strongly discourages challenging and arguing with club coaches and officials. Gymlab gives the opportunity to parents to ask for regular meetings with coaches and discuss their child's progression.

1.7 Parents/Guardians are not allowed to watch or communicate with their child from the facilities' windows or doors. This causes disruption to the class due to gymnasts losing attention. If important information needs to be communicated or in the event of a gymnast leaving the class earlier, the parent/guardian can quietly approach a Gymlab coach and follow their instructions.


2. Gymnasts

2.1 Gymnasts have to follow carefully all instructions by the coaches and behave in an appropriate manner before, during, and after the sessions. They are not allowed to leave the premises without permission from the Head Coach for safety and security reasons.

2.2 All gymnasts have to respect the club coaches, officials, and fellow gymnasts. As representatives of Gymlab during festivals and official events as well as everyday training, gymnasts must display professional and respectful conduct at all times.

2.3 Rudeness, insults, racist behavior, and physical or mental abuse are prohibited and their use by any gymnast could result in termination of their membership.

2.4 Gymnasts are strongly advised to do not to train at home without the supervision of a qualified coach.

2.5 Gymnasts who have registered to take part in shows can not withdraw their attendance, unless unexpected/serious circumstances. 


3. Coaches

3.1 All coaches must ensure that a safe environment is provided at all times.

3.2 Coaches must be immediately accessible and never leave the premises while a session is in progress.

3.3 It is the coaches’ obligation to keep an accurate record of gymnasts’ injuries.

3.4 Gymnastics is a sport, which requires a high level of safety and discipline. Therefore, coaches are allowed to use the appropriate level of verbal discipline necessary to avoid accidents and minimize injuries.

3.5 Coaches are allowed to use British Gymnastics supporting/spotting techniques when helping the gymnast understand the correct position, shape or movement.

3.6 Coaches remain the right to sit a gymnast out of class if she does not follow the club rules and safety regulations.



4. Hair, Clothing, and Equipment

4.1 All hair must be tied up neatly.

4.2 All jewellery must be removed prior to class (for more information please check the British Gymnastics Body Piercing and Adornments Policy)

4.3 All gymnasts have to wear clean clothing that allows freedom of movement while at the same time not being too open, loose, or floppy for safety and performance reasons.


5. Membership, Payments, Classes, and Attendance

5.1 Monthly fees are reviewed annually in August.

5.2 Gymlab will not refund or credit any fees if you miss a class or choose to stop attending classes before the 20th of the month. 

Monthly membership cancellations must be received by the 20th of each & every month.

For example, if a cancellation email is received on the 20th of May, no further payment will be due and May will be your last month of attendance.

However if received on the 21st of May, June will be due. 

Requests for cancellation must be made by email at memberships@gymlab.fit.

You will receive an email confirmation within 2 working days – until you receive this email the cancellation will not be valid.

Verbal instructions to amend or cancel a membership cannot be accepted, all requests must be in writing.

Monthly fees and/or prepaid fees are not refundable.

Full refund is available only to new members, who wish to cancel their membership with Gymlab immediately after their first class.



5.3 Trial classes cost is £9. If you wish to postpone your trial class you must communicate this before your scheduled session. Failure to do this will result in losing your place and having to book another class.

Please note, we won’t refund any missed or postponed classes if you won’t let us know before the class.


5.4 Our monthly fees are worked and split over 11 months. This includes Christmas and Easter holidays. We don’t refund any classes missed because of these holidays.


5.5 In the event that a class needs to be canceled due to unforeseen circumstances, Gymlab will provide a replacement class. In such a situation, no alternative financial refund is available.


5.6 In the event that a class needs to be canceled due to bank holidays, Gymlab will provide a replacement class. You must organize this with Gymlab’s team, emailing at hello@gymlab.fit. In such a situation, no alternative financial refund is available.


5.7 In the proximity of shows, gymnasts might be asked by their coach to attend extra days for rehearsal. Gymlab strictly recommends and expects that their gymnasts will attend those sessions, failure to do this might result in the withdrawal of the gymnast from the events. Rehearsal sessions are FREE of charge.


5.8 The monthly fee must be paid on the 1st of each month. If the payment collection is not successful, we will try to collect your payment again 4th and on the 9th of the month. In case of failed payment again, your subscription will be suspended and your child won’t be able to attend classes anymore.
